Job Description

Reports To: Special Events Manager

Classification: Full-time | Non-Exempt

Salary & Benefits: $60,000 to $65,000. Schedule: Generally Monday through Friday. Work week and hours fluctuate based on events schedule and will include evenings and weekends on a regular basis. The typical schedule will be 10:00 a.m. to 6:00 p.m.; flexibility required. This position is classified as a hybrid role with a minimum of 3 days onsite per week, generally Tuesday through Thursday in-office.

Summary: The Special Events Coordinator is primarily responsible for supporting the production of The Center's special fundraising events and projects. The Coordinator will serve as the supportive liaison for events and provide administrative support to the Special Events Manager and the Managing Director of Development.

Essential Duties and Responsibilities:

  • Manage the production and logistics for Annual Donor Holiday Party, Annual Donor Briefing, and Cycle Kickoff and Reunion Party. 
  • Provide production support for special fundraising and cultivation events for The Center including but not limited to, Women's Event gala, Art Centered gala, Center Dinner gala, Fashion Centered gala, Center Stage, Cycle for the Cause, and others. 
  • Assist with tracking and reporting on event revenue and expenses, processing PO's, vendor contracts, and digital organization of all event materials. 
  • Work collaboratively with outside event producers and contractors.
  • Monitor all event-related timelines and deliverables cross-departmentally so that all deadlines are met.
  • Organize, in tandem with the Special Events Manager, the management of event committees, volunteer leaders, and individual event volunteers. Provide timely updates and information to support their efforts on behalf of The Center.
  • In collaboration with the Communications and Marketing department, ensure the production of written and printed event-related collateral materials, including invitations, advertisements, web-based media, and all other internal and external materials related to Special Events.
  • Organize, inventory and maintain all events-related supplies and materials.
  • Assist Corporate Partnerships Manager with event related assets and deliverables, including logos, guest lists, website upkeep and management, etc. 
  • Help lead volunteer recruitment and engagement with corporate partners for existing Center programs, services and events.
  • Help coordinate corporate third-party relationships and tracking of gifts generated by these groups.
  • Assist in the creation of corporate partnership pitch documents as needed.
  • In collaboration with Corporate Partnerships Manager, assist with logistics of exclusive corporate and partnership-based events, including the LGBTQ Career Fair.
  • Collaborate with the Communications team to create all necessary materials used to promote The Center's volunteer and engagement opportunities for partnership-based events.
  • Perform other duties as assigned.

Position Requirements:

  • Bachelor's degree preferred or equivalent professional and educational experience.
  • Possess a minimum of two (2) to three (3) years of experience working in a fast-paced fundraising, development, and/or special events environment.
  • Computer proficiency with Google Docs and Google Sheets, including merges and formulas.
  • Familiarity with fundraising database management; experience with Salesforce a plus.
  • Strong ability to work on multiple projects at one time and to set and stick to priorities.
  • Strong ability to work collaboratively as part of a team.
  • Excellent interpersonal skills; ability to interact with a wide range of stakeholders, including staff, board, and volunteers.
  • Excellent attention to detail and customer service skills.
  • Ability to self-reflect, take in feedback, and see oneself in systems, identities, and relationships.
  • Preferred experience working with LGBTQ+, TGNC, POC, and Immigrant populations, including knowledge of the spectrum of gender identity, transgender issues, immigration, and POC issues.
  • Understanding of, and commitment to, undoing structural and institutional racism and bias and the spectrum of gender identity and bias. Consideration of the impacts and outcomes in decision-making processes and on underserved and historically oppressed communities as it relates to The Center's work.
  • A strong commitment to the mission of The Lesbian, Gay, Bisexual and Transgender Community Center.
